Receptionist/ Administrative Assistant Job Description

Purpose of the role:  To provide clients and visitors to the service with a warm and efficient welcome and to provide administrative support to the existing BSARCS team.

Location:  Barnsley Town Centre

Hours:  37 per week 9am to 5.30pm Monday to Thursday, 9am to 5pm Friday

Salary: £18,198 per annum

Benefits:  25 days holiday plus bank holidays.  6% employer contribution pension is available

Key Responsibilities

  • Ensuring that clients and visitors to our service are met with a warm, friendly and efficient service, maintaining confidentiality at all times
  • Speaking with clients and partner agencies by telephone and taking referrals into the service
  • Booking of appointments for counselling clients
  • Working as part of a multi-disciplinary team within BSARCS, delivering high quality
  • administrative support to other staff
  • To undertake any other reasonable duties, training and meetings as deemed necessary by the Management Committee

 

Main Duties – this list is not exhaustive and other tasks may be required from time to time in line with the general responsibilities of this post:

  • Cover of reception
  • Answer incoming calls and forward accurate messages to the relevant practitioner
  • Taking referrals from clients and partner agencies
  • Booking appointments for clients with our counselling team
  • Responding to email enquiries
  • Input of information accurately on to a client management system
  • Produce resources using Microsoft Word/Publisher/PowerPoint
  • Provide administrative support to the team
  • Provide practical support to the team, preparing for events, training and group sessions
  • Inputting of data to spreadsheets
  • Maintain office supplies, postage and other resources
  • Issuing petty cash and maintaining accurate records relating to this
  • Record incoming and outgoing post
  • Carrying out regular health & safety checks using an existing framework
